Room service software: what to look for before signing
Almost everyone promises the same. The real difference is where the system lives: bolted onto your hotel through integrations, or inside your hotel by construction.
The market, unvarnished
Digital room service vendors come in two families. First: ordering layers that connect to your PMS and point of sale through integrations; installation is a project and every connected piece is a point of failure. Second: ordering modules inside guest experience platforms, where room service is a peripheral feature.
Room Order plays in a third category almost nobody occupies: the ordering engine that is part of the same system where the reservation lives. It does not integrate with the PMS: it is the same system as the PMS. That is why charge-to-room, the crown jewel of this market, is not an integration here but a consequence.
The five criteria that separate the good ones
Ask this in every demo and compare the answers.
App-free ordering, in the browser
If the guest has to download anything, adoption collapses. The market standard is QR plus browser, and anything less is a red flag.
- A QR per room and per area
- Menu in the guest language
- Zero sign-ups to order
A real-time kitchen, not an email
Some systems send orders by email or to a printer. Demand a live panel with statuses, a sound alert and no dedicated hardware.
- Panel in any browser
- Statuses: new, preparing, ready
- Status reaches the guest
Real charge-to-folio
Ask exactly how the charge reaches the room folio. If the answer includes “integration with your PMS”, ask what happens when that integration fails at midnight.
- Charges posted to the stay folio
- Traceability per guest
- Pay on delivery as an option
The whole property, not just rooms
Pool, spa, lobby and terrace outsell the room in many properties. A QR per area routing to the right kitchen should come standard.
- Native multi-outlet
- Menus per outlet
- One folio per stay
The vendor’s own pricing model
Some vendors charge a commission per transaction: your success pays them. Prefer flat pricing and 0% commissions, so every extra order is yours.
- 0% commissions per order
- Predictable price per operation
- No penalty for selling more
Ask every vendor: if I switch PMS tomorrow, does your system still post to the folio? The answer tells you whether you bought an engine or an adapter.

Frequently asked questions
How long does implementation take?
With integrated layers, weeks or months: PMS and POS must be connected. With Room Order, hours: load the photo menu and generate the QR codes, because there is no external integration to build.
Do I need a separate POS?
With Room Order, no: the order, the kitchen and the folio live in R2 OS. If you run another system, the key question is how many external pieces the vendor needs to close the cycle.
What about guests who prefer to call?
The phone does not disappear: the QR absorbs most orders and frees the desk to serve callers well. It also captures the demand that never calls: foreign, shy or busy guests.
Does room service software raise the check?
Vendors in the niche report increases with visual menus and suggestions; those are their claims, not ours. Our take: photos plus upselling plus zero friction give more reasons to order, and your reports will show your real number.
Why does 0% commission matter?
Because a per-transaction commission punishes your growth: the better room service works, the more you pay. With flat pricing, every additional order is your margin.
